Access the participant management tab
Navigate to the "Participants" tab located in the navigation bar of your studio.
Add New Participants
Add Participants Manually
To add participants manually, follow these steps:
- Access the "Participants" tab.
- Click "+ New".
- Enter the email address(es) of the participants to be added.
- Click "Save".
Add Participants in Bulk
To import multiple participants at once, follow these steps:
- Access the "Participants" tab.
- Copy the email addresses from an Excel or CSV file.
- Paste them into the participant addition field.
- Select "Confirm".
Manage Participants by Groups
Create participant groups to simplify the assignment of courses, training paths, or assessments. These groups also allow you to sort participants into cohorts.
Create a Group
To create a new group, follow these steps:
- Access the "Participants" tab.
- Click the "Manage Groups" icon .
- Click the "Create a Group" button.
- Select a color associated with your group.
- Add a group title.
- Click "Confirm".
Assign a Participant to a Group
To assign a participant to a group, follow these steps:
- Select the participant.
- Click the three dots and choose "Select Groups" .
- Choose the group(s) to assign to the participant.
- Click "Confirm".
Remove a Participant
To remove a participant, follow these steps:
- Access the "Participants" tab.
- Search for the participant to be removed.
- Click "Exclude Participant" next to their name.
At this stage, the participant will still be counted in the total participant count, but they will be grayed out and no longer have access to the platform.
To permanently remove them, click the three dots again and select "Delete Permanently" .
View Participant Count
The participant count resets with each contract renewal (typically annually). Unused seats do not roll over to the next subscription year.
Export Participants
To export the list of participants:
- Access the "Participants" tab.
- Select "Export" .
- Choose the export format (CSV, Excel, etc.).
- Click "Download" to retrieve the file.
Frequently Asked Questions
How to add participants by importing an Excel (XLSX) or CSV file?
Currently, it is not possible to import participants via an Excel or CSV file. However, you can copy/paste a list of email addresses separated by commas or line breaks.
Can I modify the email address of an existing participant?
TeachUp does not allow updates to participant email addresses. You will need to create a new account with the participant’s new email address.
How to assign a participant to a specific department?
Use the "Assign to Department" option available in the participants menu.
How to re-include an excluded participant?
To re-include an excluded participant, follow these steps:
- From the participant list, click "Advanced".
- In the "Status" tab, open the dropdown list.
- Select the "Excluded" filter only, then click "OK".
- Click "Apply" to display the list of excluded participants.
- Next to the participant, click the three dots, then select "Re-include".
What is the impact of excluding a participant?
When a participant is excluded, they can no longer access the Teach Up platform. However, all their data, such as assignment history, progress, and results, are retained. The data remains visible in the activity dashboard.
