Track Participants

The participant dashboard provides an overview of data for all participants who have engaged with your Teach Up activities, regardless of the year they subscribed.

Access the participant dashboard

To access this tab, log in to Teach Up and click on the "Participants "  tab in the left side menu.

Content of the participant dashboard

This tab displays a global view of participant data without detailing information specific to each activity. It is reserved for administrators and is not accessible to designers or shareable with external users.

Displayed information

The following data is available on the participant dashboard:

• First and last name
• Registration date: the date the participant created their account on Teach Up after being assigned an activity or opening a link
• Last login date: the date of the participant’s most recent login to the platform

Additionally, you can manage participants and groups. For example, you can select multiple participants to assign them one or more activities at once. (See the article on participant management.)

Export Participant Data

A general export in Excel format is available directly from the dashboard. To access it, click on the "Export  " button in the upper-right corner of the screen.

Export content

The export includes the following information for each participant:

• First name, last name, and email address
• Participant status: Active, Pending, or Excluded
• Account creation date
• First login date
• Last login date
• Number of logins within the filtered period or since the start of the subscription
• Total learning time
• Account activation status
• Groups to which the participant belongs

View Individual Participant Records

From the participant dashboard, you can access a participant's individual record by clicking on their name. This record allows you to view detailed information about activities assigned to them or followed through a link.

Information available on a participant’s record

For each activity, you can view the following information:

• Progress
• Time spent
• Mastery rate

You also have the option to assign new activities directly from this record.

Additional options

A small arrow button to the right of each activity provides access to additional options, such as:

• Removing the participant’s assignment to an activity
• Deleting the participant’s activity record
• Displaying progress details for each step in a training path

Downloadable documents

From this record, you can also download documents associated with the participant's training, including:

• Assessment summaries
• Form responses
• Training certificates

Export Individual Participant Data

A detailed export of activities related to a specific participant is available from their individual record. To access it, click on the "Export  " button in the upper-right corner of the screen.

Export content

The export contains the following information:

• List of activities assigned to and accessed by the participant
• Type of activity for each item
• Date and time of activity start for activities in progress
• Participant’s progress on each activity
• Time spent on the most recent attempt for each activity
• Total time spent on each activity
• Mastery rate for each activity
• Success or failure indication for assessments, based on the threshold set by the designer

Who can access the participant tracking dashboard?

Only Teach Up platform administrators have access to the participant dashboard.

What Is the difference between the participant tracking dashboard and a course, assessment, or training path dashboard?

• Participant tracking dashboard
  This provides a centralized, global view of all participants across all activities available on the Teach Up platform. This dashboard tracks data for every participant interacting within the Teach Up space, regardless of the specific courses or assessments they’re assigned to. It is accessible only to administrators and is not tied to any specific activity (course, assessment, or training path).

• Course, assessment, or training path dashboard
  This dashboard is specific to a particular activity, whether it is a course, assessment, or training path. It displays data and performance for participants in that specific activity. This dashboard is more detailed, providing in-depth insights into participant results within the particular activity (course, assessment, or training path).
